How do I change the default settings of a network printer?

Note to Campus

In order to help reduce costs associated with printing, the University has set standards that all WesternU MFPs (Multi-Function Printers) be set to Black/White and Duplex (double-sided) printing by default. These settings will be set automatically on all SHARP devices (Printers with MXxxxx in the name). This is a default setting that will help prevent someone from accidentally printing in color, but does not restrict the use of color or single-sided printing. Step-By-Step

This process will differ between programs and printer models, and the instructions below will outline the process for the most commonly used applications at WesternU. 

Microsoft Word, Excel, and PowerPoint (Office 2016 or higher)

  1. When in the print menu, ensure the proper printer is selected in the Printer dropdown

  2. Click Printer Properties

  3. Once in the Printing Preferences screen, you will have the ability to change your settings:
    1. 2-Sided Printing: You can select to have none, Long Edge, and Short Edge as the default
    2. Color Mode: You can select to have Black and White, Color, or Automatic as the default
    3. When making any changes, be sure to click Apply to have them saved

Microsoft Outlook (Office 2016 or higher)

  1. When in the print menu, ensure the proper printer is selected in the Printer dropdown
  2. Click Print Options
  3. Click Properties
  4. Once in the Printing Preferences screen, you will have the ability to change your settings:
